Terms of Service

Last updated: 18 October 2026

These terms apply to corporate bookings for our video production, photography, drone, post-production and digital marketing services. Please read them alongside your quote before accepting it.

1. About us

Nice to Film You is a trading name of AVP Services Ltd, registered in England and Wales under company number 11558422. Our registered office is 26 Clovelly Road, Liverpool L4 2SB.

Our business office is at Level One, Basecamp Liverpool, 49 Jamaica Street, Liverpool L1 0AH.

You can contact us on 0151 66 207 66 or at office@nicetofilmyou.co.uk.

In these terms, “we”, “us” and “our” mean AVP Services Ltd trading as Nice to Film You. “You” and “your” mean the business or organisation booking our services.

2. Your agreement with us

These terms and the accepted written quote form the agreement between us. The version of these terms supplied with your FreshBooks quote applies to that booking.

Any project-specific provision expressly agreed in the quote takes precedence over a conflicting provision in these terms. Your organisation’s purchasing terms apply only where we have expressly accepted them in writing.

The person accepting the quote confirms that they are authorised to book the services on your organisation’s behalf.

3. Quotes and bookings

Quotes are valid for 30 days from the date we send them.

Your booking is confirmed when you accept the quote in writing and we receive either the 30% deposit or a valid purchase order accepted by us in place of the deposit. Acceptance through FreshBooks or by email counts as written acceptance.

Your date is reserved once the booking is confirmed, subject to availability at that time.

The quote sets out the agreed scope, deliverables, price and any agreed schedule. Additional filming time, edits, formats or other work outside that scope must be agreed in writing, including the additional cost, before we undertake it.

4. Fees, payment and expenses

A deposit of 30% of the quoted price is required to secure your booking. We can accept a valid purchase order in place of the deposit where agreed.

The deposit forms part of the total project price. We invoice the remaining balance when we deliver the final files. If no deposit was paid, we invoice the full outstanding amount.

Invoices are payable within seven days of the invoice date, unless a different payment schedule is expressly agreed in the quote.

We are not VAT registered, so no VAT is added to our prices.

Travel within Merseyside is included. For projects outside Merseyside, mileage is charged at £0.66 per mile for the outward and return journey. The journey basis and estimated charge will be identified in the quote or agreed in writing before travel.

Overnight accommodation, parking, venue fees and other project expenses are agreed with you in advance.

We may charge statutory interest and applicable recovery costs on overdue commercial debts under the Late Payment of Commercial Debts (Interest) Act 1998. We may also pause further work or delivery while payment is overdue, after notifying you. Any resulting changes to the delivery schedule will be communicated to you.

5. Cancellation and postponement

Please notify us of cancellation or postponement in writing as soon as possible.

For bookings involving a filming or photography date:

• More than seven calendar days before the booked date: the cancellation charge is 30% of the quoted fee. If agreed work already completed exceeds that amount, the charge will instead reflect the value of that completed work.

• Seven calendar days or less before the booked date: the full quoted fee is payable.

Payments already made are credited against the cancellation charge. These charges also apply where a purchase order was accepted instead of a deposit.

We will not charge twice for the same work. Any cancellation calculation will account for costs saved and replacement work secured where applicable.

For projects without a filming or photography date, such as editing or digital marketing, the quote will identify any project-specific cancellation arrangements. Otherwise, cancellation charges will reflect agreed work already completed and unavoidable commitments already made for your project, with payments already made credited against the amount due.

If you request postponement, we will try to accommodate a new date and transfer your deposit. This depends on our availability and written agreement. A postponement requested seven calendar days or less before filming may be treated as a cancellation; we will explain the applicable charge before agreeing the change.

If we have to cancel because of illness or an emergency, we will first try to provide a suitable replacement crew. If we cannot provide the agreed service, we will refund payments for the cancelled work. Any limitation of liability remains subject to section 12.

6. Your responsibilities

You agree to:

• provide accurate information about the brief, locations, timings and contacts;

• arrange permission to film at your chosen locations, unless we agree to do this;

• arrange appropriate participant information, permissions and releases for the intended filming and use, including appropriate arrangements for children and vulnerable participants;

• tell us about site rules, safety requirements and restricted areas before the shoot;

• provide an authorised contact who can make decisions during the project;

• ensure that materials you supply, including logos, music, images and footage, can lawfully be used for the agreed purpose; and

• provide feedback, approvals and other agreed materials in time for the project schedule.

We will agree any project-specific division of responsibilities for participant permissions and data protection. This does not remove either party’s own legal obligations.

If delays or changes within your control require additional work, we will explain the effect on price and timing and obtain written agreement before undertaking chargeable extra work.

7. Filming days and drone work

Your quote sets out the booked hours, services and crew. Additional time is charged at the rate stated in the quote or otherwise agreed in writing.

Standalone drone bookings are charged by the hour under the same pricing structure as our video and photography services. Where drone coverage is booked as part of a full day of filming, it is included in the agreed day rate.

All drone work depends on suitable weather, airspace permissions, applicable aviation requirements and safe conditions. We use appropriately registered operators and suitably qualified pilots, with operational authorisations where required. The pilot has the final decision on whether a flight can safely and lawfully proceed.

If separately priced drone work cannot proceed, we will agree whether to reschedule it or remove the undelivered drone service from the charge. Any additional visit or unavoidable expense must be agreed in writing. Payments already made will be credited or refunded as appropriate.

Where drone coverage is included in a full filming day, there is no separate drone fee to deduct. The agreed day rate continues to cover the other booked production services. We will discuss suitable alternative coverage where possible.

8. Editing, revisions and delivery

Delivery times depend on the brief, the client’s requirements, the scope of work and the timely receipt of materials, feedback and approvals. There is no standard turnaround period.

We will agree the intended schedule with you and identify any fixed deadline expressly in the quote or subsequent written agreement. We will notify you promptly if circumstances affect that schedule.

Two rounds of revisions to each agreed edit are included. Each round means one consolidated set of feedback from your organisation.

Please provide feedback within 14 calendar days of receiving an edit. If we have not received feedback by then, we may treat it as approved for completion and invoicing after sending you a reminder. This does not prevent you from reporting an error or a failure to meet the agreed brief.

Additional revision rounds are charged at £70 per hour, with the estimated cost agreed before work begins. Corrections needed because we have failed to follow the agreed brief are not counted as chargeable additional revisions.

Changes to the brief, reshoots, new scenes and additional deliverables are quoted separately.

Final files are supplied by download link. We will tell you when the link expires. Please download, check and securely back up your files before that date.

9. Music, subtitles and third-party materials

Licensed background music is included unless the quote states otherwise. We select music with licensing suitable for the uses agreed in your brief.

Please tell us before editing begins about all intended distribution, including paid advertising, broadcast, cinema, websites, social media and presentations. Different uses may require additional licences or fees, which we will agree with you in advance.

If you request a particular track or supply music or other third-party material, you are responsible for obtaining the necessary rights unless we expressly agree to arrange them.

Subtitles and captions are quoted separately according to your brief.

10. Ownership and usage rights

We retain copyright in the original footage, photographs and creative work we produce, except where a different arrangement is agreed in writing. Your pre-existing materials remain yours, and third-party materials remain subject to their owners’ rights and licence conditions.

Once the project invoice is paid in full, you receive a non-exclusive, worldwide licence, without a time limit, to use the agreed final deliverables for your business, marketing and promotional purposes, subject to any third-party restrictions identified to you.

Where you are an agency commissioning work for an end client, the quote should identify that client and the intended use. The agreed licence will permit that end-client use.

You may supply the final files to agencies, platforms, printers and other service providers as reasonably necessary to carry out the permitted uses. You may not sell the material as stock content or license it independently to unrelated third parties without our written agreement.

Raw footage and project files are not included unless stated in the quote. Any rights granted with separately supplied raw footage will be identified in the agreement.

Until payment is received in full, files are supplied for review only and must not be published or otherwise used without our written permission.

We may use work in our portfolio, showreels, website and social media, subject to confidentiality, agreed publication restrictions and the permissions and legal requirements applicable to that use. Please identify confidentiality requirements or embargoes when briefing us and notify us promptly if these change.

11. File storage

We retain all production files, including raw footage, audio, editing projects, final films and photographs, for three months after final delivery. After that period, we may delete them without further notice.

Requests for further edits or additional files should be made within that period and may be chargeable.

This storage period is not a substitute for your own backup of delivered files. Clients must download, check and securely back up their delivered files. Retention and deletion of personal data may also be governed by applicable law and any project-specific data-processing agreement.

12. Insurance and liability

We will provide details of the insurance applicable to your project, and evidence of cover, on request.

We take reasonable care when capturing, handling and storing your material. If material is lost or damaged through our fault, we will discuss an appropriate remedy, which may include a reshoot at our cost where reasonably possible or a refund for the affected work.

Subject to the exceptions below and applicable law, our total liability arising from a project is limited to the total fees paid or payable for that project.

Subject to applicable law, we are not liable for indirect or consequential losses. Any exclusion of loss of profit, revenue, business or reputation applies only to the extent legally permitted.

Nothing in these terms excludes or limits liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or any other liability that cannot lawfully be excluded or limited.

13. Events outside our reasonable control

Neither party is responsible for a failure or delay caused by events outside its reasonable control. The affected party must notify the other promptly and take reasonable steps to reduce the impact.

We will first try to agree an alternative arrangement or date. If the affected work cannot reasonably proceed, payments for work not performed will be refunded, less unavoidable, reasonable project costs already incurred and not otherwise recovered. We will explain any deductions and will not charge twice for the same costs.

The specific drone arrangements in section 7 apply where only drone coverage is affected. This section does not excuse payment for services already delivered.

14. Confidentiality and data protection

Both parties will protect confidential information received for the project and use it only for the agreed purposes, except where disclosure is authorised or required by law.

We handle personal data in accordance with applicable data protection law. Our separate Privacy Policy explains our handling of personal data.

Where a project requires us to process personal data on your behalf, we will agree the necessary data-processing provisions, including instructions, security, relevant service providers, retention and assistance with data-protection requests.

Permission to produce and deliver a project does not automatically establish permission for every separate marketing use of identifiable participants.

15. Complaints

Please report concerns promptly, preferably within 14 calendar days of delivery, by emailing office@nicetofilmyou.co.uk.

Explain the issue and the outcome you are seeking so we can investigate and work with you on an appropriate remedy. This requested reporting period does not remove rights or remedies available under the agreement or applicable law.

16. Changes and governing law

Updates to these terms apply to future bookings. The version supplied with your accepted quote continues to apply to your existing booking unless we both agree a change in writing.

These terms are governed by the law of England and Wales. The courts of England and Wales have jurisdiction over disputes arising from the agreement.

17. Using our website

Website videos, photographs, text, logos and other materials belong to us or their respective rights holders. Except where permitted by law or an applicable licence, you must obtain permission before copying, downloading or reusing them.

We aim to keep website information accurate. Your accepted quote and the terms supplied with it define your booked services, deliverables and price.

Links to other websites are provided for convenience. We do not control those websites or their content.
